Effective October 17, 2026. What we collect when you book or stay with us, and how we use it.
1. Who We Are
Stay Roanoke ("we," "us") is Rent in Roanoke LLC d/b/a Stay Roanoke, 416 Campbell Ave SW, Unit 103, Roanoke, VA 24016. This policy explains what we collect when you book or stay with us, use stayroanoke.com, our online check-in, or the Stay Roanoke app on the TV in your rental, and how we use it.
2. What We Collect
When you book
Your name, email, phone number, stay dates, number of guests and pets, and anything you tell us about your trip. If you book on Airbnb, Vrbo, Booking.com or another site, that site shares these booking details with us.
Payment and your card on file
Cards are processed by our payment provider, Stripe. We never see or store your full card number. For your stay we may keep your card on file with Stripe to place a refundable security deposit hold and to charge for things you add, like an extra night.
Online check-in
A photo of your government ID, your electronic signature on our rental agreement, and the card you add for your deposit hold. We use automated tools, including AI, to compare the name on your ID with the name on your card. A person on our team reviews anything that doesn't match.
Messages and calls
Texts, emails and booking-site messages you exchange with us. Calls to our phone line are recorded and may be answered by an automated assistant; recordings are kept by our phone provider under its standard retention settings.
At the property
Smart locks record when your door code is used. Some properties have exterior security cameras, which are disclosed in the listing. There are never cameras inside any rental.
The Stay Roanoke TV app
The TV in your rental shows your first name, your stay dates and the unit's Wi-Fi details. We count how often sponsor messages are shown or opened on each TV; those counts aren't tied to your name. If you book an extra night from the TV, the last 4 digits you enter are used only to confirm the card on file.

Information you enter when you search, book, contact us or list your property with us. We may use cookies and similar tools from Google and Meta to understand how visitors use the site and to show and measure our ads. You can limit this in your browser settings, through Google's Ad Settings (adssettings.google.com), and through Meta's ad preferences (facebook.com/adpreferences).
3. How We Use It
- To manage your reservation, send your door code and check-in details, and support you during your stay
- To verify identity, protect our properties and handle deposits, damage or policy issues
- To process payments and refunds
- To improve our service and keep records required for taxes and accounting
- To meet legal obligations
5. How Long We Keep It
We keep reservation and payment records, including check-in details like your ID photo and signed agreement, with your reservation for as long as needed for your stay, disputes, taxes and our legal obligations.
6. Your Choices
- Ask us to see, correct or delete your information by emailing info@stayroanoke.com. We'll keep only what we're required to.
- Reply STOP to any text to stop non-essential texts.
7. Children
Our rentals are booked by adults (the primary guest must be 21 or older). We don't knowingly collect information from children under 13.
8. Security
We use reputable providers and limit access to the people who need it. No system is perfectly secure, so contact us right away if you think something is wrong.
9. Changes
We may update this policy and will change the effective date above when we do.
